How much a uniform program costs per employee, and what moves the number.

A branded uniform program's cost per employee per year is set by six things: the garment tier, the number of pieces per person, the decoration on each piece, annual turnover, whether you rent or own, and how reorders are handled. How to estimate your own number before you ask for a quote.

Start with roles, not garments. List each role, how many people are in it, and whether they wear the uniform every day or only when customer-facing. A field crew of daily-wear workers needs five to seven shirts each so the laundry cycle never leaves anyone short; the shirts-per-crew-member guide shows the math by shift pattern. An office or sales role wearing a polo under a jacket needs three or four.

Then pick the garment tier per role. This is where most of the money goes. A value twill work shirt, a mid-tier performance polo, and an FR shirt are different price classes before a single stitch of embroidery. The work shirt page and the polo page lay out the tiers. Do not put the executive polo on the field crew and do not put the field crew's twill on the sales team.

Decoration is the third input. One left-chest logo is the baseline. Every additional placement, a name, a sleeve mark, a back print, adds a per-piece charge, and personalization is priced per name. If the budget is tight, cut placements before you cut garment quality; a cheap shirt with three logos fails faster than a good shirt with one.

Now multiply: people × pieces × (garment + decoration) gives the first-issue cost. Divide by headcount for the per-employee number. Add turnover: a crew that replaces 30% of its people each year replaces roughly a third of its uniforms, plus a few damaged garments per hundred. The last driver is administrative, and it is the one most teams forget. Ad hoc reorders by email cost hours, produce off-spec garments, and push people to buy at retail when they are short.
